Key takeaways_ Legacy on-premise finance systems can keep working while quietly limiting progress. Housing finance teams may still close the month, process invoices and produce reports, but cloud readiness, integration, automation and future support become harder to maintain over time. Cloud migration should be viewed as a future-proofing decision, not just a technical upgrade. A modern finance platform should support secure access, regular updates, stronger reporting, cleaner integration and a better foundation for AI-assisted ways of working. Business Central is a compelling next step for Microsoft-aligned housing associations. It brings a maintained cloud ERP core, native alignment with Microsoft 365, flexible dimensions, extensibility, open APIs and robust reporting options. Every housing association needs a finance system that performs. But many still rely on legacy, on-premise platforms which do not support cloud resilience, better reporting, secure integration or AI-assisted ways of working – resulting in a less connected finance function. Let’s explore why now is the right time to review your options and where Business Central can fit as a future-ready next step. Why finance system reviews usually start before a formal project_ Most housing finance system reviews begin with practical pressure rather than transformation ambition. Common issues including month-end taking too long, service charge costs need manual checking and board packs still rely on spreadsheets only a few people understand. The finance system still works, but it is no longer making the job easier. That is when ‘still working’ and ‘ready for the future’ become different tests. Increasingly, more platforms are reaching the end of the life: OneAdvanced has announced that development on OpenAccounts has concluded. Some on-premise versions of Infor SunSystems have already moved out of support. Microsoft Dynamics NAV 2018 reaches the end of extended support in January 2028. These leave you with limited access to support and innovation. If you’re using one, it’s wise to review the options before the timetable becomes urgent. A review doesn’t automatically mean replacing everything immediately. It means asking whether the current platform can support a cloud-first operating model, governed access, modern reporting, controlled integrations and future change. If the answer is increasingly no, the organisation is already carrying risk. Why on-premise finance is reaching an inflection point_ For years, many finance teams have managed well with familiar on-premise systems. But the surrounding environment has changed. Teams now expect secure access from anywhere, IT teams need platforms that can be patched and governed consistently, and boards increasingly expect data-led decisions rather than static packs produced through manual effort. Moving to a cloud system is key to whether the finance platform can keep improving as the organisation changes. A maintained cloud ERP can reduce infrastructure dependency, support regular updates and give finance teams a stronger foundation for automation, reporting and future AI-assisted processes. What should a modern housing finance platform support? Every credible finance platform can post journals, process invoices and produce a trial balance. But for housing associations looking beyond legacy on-premise systems, the more important question is whether the platform can support cloud availability, secure access, regular updates, automation, clean integrations and reporting across entities, schemes, funds, departments, properties, repairs, voids and service charge activity. That means asking practical questions, like: Can finance reconcile financial outputs from rent, repairs and service charge processes without manual workarounds? Can managers see spend at scheme or property level without extending the nominal code endlessly? Can reporting be refreshed from trusted data rather than rebuilt in spreadsheets? Can the platform adapt as needs change? Where Business Central fits for housing associations_ Dynamics 365 Business Central online is Microsoft’s cloud ERP platform for small and medium-sized organisations. Microsoft publishes regular Business Central release waves and monthly updates, which gives the platform an active product roadmap and helps reduce reliance on large, disruptive upgrade projects. Unlike legacy alternatives, the finance core can remain current, secure and extensible while sitting alongside the specialist housing platform. For organisations already invested in Microsoft 365, Business Central is a natural next step. Identity and access can align with the Microsoft security estate, finance teams can continue using familiar tools such as Excel and Outlook, and Power BI can support richer management reporting. Business Central supports Microsoft 365 and Power Platform integrations, web services and REST APIs, as well as AppSource solutions and purpose-built extensions. Cloud ERP also creates the foundation for AI adoption_ Business Central includes Copilot and AI capabilities that are designed to help users work more efficiently with company data, analysis and day-to-day processes. This matters because AI is only useful when it can operate on trusted, well-structured and accessible data. AI should not drive the business case on its own. The priority is still sound finance design: clean master data, well-managed dimensions, secure access, governed integrations and clear reporting ownership. But cloud ERP gives finance teams a better starting point than trying to layer new tools onto ageing, disconnected systems. Why dimensions matter in housing finance_ Housing reporting is multi-axis by nature. Finance may need to analyse transactions by entity, scheme, property, fund, department, contractor, programme or grant. Putting every axis into the nominal code creates long account structures, makes change harder and often pushes users back into spreadsheets. Dimension design is harder than it appears. Too few constrain reporting, while too many create posting friction. The important work is deciding what belongs in finance, what belongs in the housing system and which values must align across both. Example of dimensions in Business Central What tends to be easier, and what needs more care? Reporting is one of the clearest reasons to review a legacy finance platform. Finance needs statutory and management accounts. Budget holders want spend against scheme, department or contractor. Boards need a clear view of performance and risk. Business Central supports this through complementary reporting routes rather than one static report estate: Financial reporting. Structured financial statements and management reports can be built from the chart of accounts, budgets and dimensions, with drill-down into the underlying entries. This supports core finance reporting, including analysis by entity, fund, scheme or department where the model has been designed appropriately. Analysis mode. Users can group, filter and pivot list data in the Business Central client for day-to-day investigation without first exporting a static report. Connected Excel. Excel remains valuable when it is connected to governed data and can be refreshed, rather than relying on copied exports with no clear version or owner. Power BI. Power BI supports dashboards and reports based on Business Central data, including reports embedded in Business Central and analysis across companies. It needs defined measures, ownership and appropriate licensing. Example of a financial dashboard created in Business Central A legacy report estate often catches people out. Rent reconciliations, service charge outputs, scheme-level reporting and board dashboards may draw on both housing and finance data, often through reports or spreadsheets that have grown over many years. Moving to cloud is an opportunity to decide what should be rebuilt, replaced, automated or retired. Integration matters more than the ledger shortlist_ A housing finance platform does not operate alone, which is why open integration should be central to any future-state decision. Rent debit, repairs commitments, service charge actuals, development costs, property references and related payment or allocation data may originate in specialist systems. Interface quality determines whether finance receives complete, balanced and traceable entries. Business Central supports standard REST APIs for point-to-point integration with third-party solutions and services. Good integration still needs ownership, control totals, error management, reconciliation routines and audit evidence. But open APIs make integration a planned part of the architecture rather than a barrier, which is important when housing, finance, asset and procurement data need to work together. Is now the right time to review your finance system? If your current system is secure, supported and meeting the organisation’s needs, the answer may be no. You need to to review honestly whether continuing to invest in the current platform is still the lowest-risk choice. Don’t move just because cloud is fashionable. But if development has stopped, support is narrowing, integrations are becoming fragile or routine reporting needs manual intervention, waiting is also a decision. It usually reduces choice rather than preserving it. Business Central deserves consideration because it brings together the themes many housing associations now need: a maintained cloud core, ongoing Microsoft investment, native Microsoft 365 alignment, flexible dimensions, robust reporting, extensibility and open APIs. Fit still depends on your housing platform, rent and service charge processes, property data model, controls and appetite for change. But, with the right partner, it could be the solution that allows you to get more from your finance system and ease the common pains associated with legacy platforms. If your current finance platform is on-premise, ageing or becoming harder to support, now is the time to explore whether cloud ERP is the right next step.
